Title

Authorize an extension of the five-year service price agreement with SAP Public Services, Inc. dba SAP Public Services, Inc. for software maintenance and support for the integrated billing system for the Dallas Water Utilities Department from January 1, 2026 to December 31, 2026 - Financing: This action has no cost consideration to the City (see Fiscal Information)

Body

BACKGROUND

This supplemental agreement will provide continued software maintenance and support for the integrated billing system for the Dallas Water Utilities Department (DWU). This integrated billing system produces approximately 20,000 documents daily, ranging from invoices and past due notices to service requests, permit renewals, consumer applications, and fee statements in support of the City’s residents.

PRIOR ACTION/REVIEW (COUNCIL, BOARDS, COMMISSIONS)

On December 9, 2020, the City Council authorized a five-year service price agreement for software maintenance and support for the integrated billing system for the Water Utilities Department with SAP Public Services, Inc. by Resolution No. 20-1912. The legal instrument executed was an Amendment to Extend Software License Agreement amending and extending the council authorized and five-year service contract for maintenance and support for the integrated billing system software.

FISCAL INFORMATION

This action has no cost consideration to the City.  This no-cost extension will extend the contract term only and will not increase the contract amount.  Sufficient previously approved funds remain available, and the extension is necessary to ensure continued access during the stabilization period following DWU’s transition to its new billing system.
