Authorize Supplemental Agreement No. 1 to extend the service price agreement with Earthtek, Inc. for sand trap, grease trap, interceptors, and septic tank cleaning services for citywide use, from July 13, 2026 to December 12, 2026 - Financing: This action has no cost consideration to the City (see Fiscal Information)

BACKGROUND
This Supplemental Agreement No. 1 will provide for ongoing sand trap, grease trap, interceptors, and septic tank cleaning services for citywide use. State law requires the City to operate holding tanks or “traps” to collect contaminated water, grease run-off, and other debris from specific drains citywide. The traps range in size from 25 gallons to 14,000 gallons. The waste collected in these traps is prohibited from being discharged into the sanitary sewer system. This agreement provides for continuing services of sand traps found in vehicle and equipment wash bays throughout the City, grease traps associated with commercial kitchens such as Bahama Beach Water Park, and Love Field restaurant facilities, interceptors for the pre-treatment of stormwater found at Sanitation transfer stations, and septic tanks found at older City facilities. This agreement also provides for continuing service as needed and emergency cleaning of the sand traps, grease traps, interceptors, and septic tanks. They are cleaned and the waste is properly disposed of per State laws and regulations.
In accordance with Administrative Directive 4-05 9.2.1 B-6, a master agreement awarded as an ID/IQ Agreement shall be authorized by a City Council resolution and be established for a set term plus one six-month extension option, which extension option may be authorized by Administrative Action. Extensions greater than six months must be authorized by a City Council resolution.
The Office of Procurement Services, in coordination with the Department of Aviation, anticipates a new award recommendation within the next six months.
PRIOR ACTION/REVIEW (COUNCIL, BOARDS, COMMISSIONS)
On January 13, 2021, the City Council authorized a five-year service price agreement for sand trap, grease trap, interceptors, and septic tank cleaning services for citywide use with Earthtek, Inc. by Resolution No. 21-0147.
FISCAL INFORMATION
No cost consideration to the City. This no-cost extension will extend the contract term only and will not increase the contract amount. The extension is necessary to allow continued services while a new agreement is finalized, as the contract has exhausted its allowable six-month extension.
